After months of research and comparison of systems, we are finally making the move to Electronic Medical Records!
IMPORTANT INFORMATION: PLEASE READ ENTIRELY. For those of you familiar with medical software systems, we’ve chosen Modernizing Medicine as our vendor. The conversion process is currently in progress:
STAGE ONE: PRACTICE MANAGEMENT
Our office is now “live” on the new system. Current demographic and scheduling information will be electronically transferred to the new system, however, to ensure we start with clean and accurate information, you will be asked to complete new registration forms virtually and present a copy of your insurance card. The flow of our front desk will change somewhat. We may also ask for additional information when you are scheduling an appointment. We ask and thank you for your patience and cooperation during the transition.
For your upcoming appointments, we will initiate the Patient Portal where you’ll have access to your information and be able to complete forms, request appointments, and update information. We will need registration forms completed before you can be roomed to be seen in our office. You will be asked to come in 30 minutes early for your appointment to accommodate this if you’re unable to complete online prior to your appointment date. The check-in/appointment process will then be quicker on your next visits once you’ve completed your patient information through the portal.
PLEASE NOTE: As you may have known, Virginia Center for Plastic surgery is proud to be a part of MidAtlantic Plastic Surgeons (MAPS). MAPS serves patients from the Northern Virginia, DC, and Maryland areas. Your patient portal invitation will welcome you to Mid-Atlantic Plastic Surgeons instead of VCPS, so please be on the lookout for the MAPS name, and register when you see the email come through.
STAGE TWO: CLINICAL/MEDICAL RECORDS
We’ll start the process of converting paper charts to electronic records on April 23, 2018. For the first couple of weeks, we’ll continue to maintain paper charts on some patients to give VCPS some time to adjust to the change. We will be using iPads in the exam rooms for documenting. All outside labs, orders, and prescriptions will be placed electronically once we’re acclimated to the system. We are very excited about this change! There may be some kinks and bumps along the way, but we will work them out promptly as they arise. The change to electronic records will be a huge benefit to you as it will help streamline both your health information and communication with our practice.
